Buyer's guide
Every app on this page can photograph a receipt. The differences show up after the photo: whether the numbers get read correctly, whether the expense lands in real books or in an export, and whether it reaches the right line of your T2125 or waits for you to retype it. This page ranks the options for that whole job, and names what each one genuinely does best.
If you are self-employed and the point of scanning receipts is an expense claim on your T2125, NorthOS is the best fit. Receipt scanning is part of the $12 CAD a month plan: the scan is read, matched against your imported bank transactions, and recorded on its T2125 line beside the rest of your books, GST/HST tracking included. The receipt and the tax record are one step instead of a scan, an export, and an evening of retyping.
If your need is narrower, the ranking below says which tool wins at what. Expensify says individuals can use it free with unlimited SmartScans, Shoeboxed will take a box of paper off your hands by mail, and Dext is the one accountants ask their clients to use.
The two columns on the right are where the tools split: whether your books live in the same place as the scans, and whether the expense reaches the T2125 without retyping.
| Tool | Price /mo | Free tier | Scan allowance | Full bookkeeping included | T2125 expense mapping |
|---|---|---|---|---|---|
| NorthOS | $12 CAD | No (14-day full trial, no card) | Included with the plan | Yes, full Canadian bookkeeping | Yes, every expense on its line |
| Dext | From $39.50 CAD | Not advertised (free trial) | 250 documents/month (entry plan) | No, feeds your accounting software | Not advertised |
| Expensify | US$5 (Collect, per member) | Yes, for individuals | Unlimited SmartScans | No, expense management | Not advertised |
| Shoeboxed | US$9 (Starter) | No, in their words it is not free | 30 digital scans/month (Starter) | No, expense reports | Not advertised |
| QuickBooks Lite | $20 CAD | No (30-day trial) | Yes, in the mobile app | Yes, invoicing-first | Not advertised |
| A folder and a spreadsheet | Free | Yes | As many as you can file | No | Manual |
“Free tier” means an ongoing $0 plan, not a time-limited trial. Prices are regular list rates as of 2026, before any promotions (Expensify and Shoeboxed price in USD; Dext prices in CAD excluding GST, and its $39.50 entry rate covers 250 documents a month for up to 5 users, with $378 a year on annual billing). “Not advertised” means the feature does not appear on the vendor's pricing page, which is where vendors list what they sell. Pricing changes often, so check each provider directly: Dext, Expensify, Shoeboxed, and QuickBooks.
Ranked for the specific job of a self-employed Canadian turning receipts into CRA-ready expense records that end up on the T2125. Each entry names what the tool genuinely does best, because most of them are the right answer to a different question.
Wins at: receipts that end up filed, not just photographed
Receipt scanning is part of the $12 CAD a month plan, not a separate app. A scan is read, matched against your imported bank transactions so the amounts agree, and recorded as an expense on its T2125 line, with the $30,000 GST/HST threshold tracked on the same dashboard. The dedicated scanners below capture receipts well, but every one of them hands you an export to carry into your tax filing by hand. NorthOS is the one where that last step does not exist.
Wins at: Document volume, and clients whose accountant asked for cleaner paperwork
Dext is the tool accountants and bookkeepers hand their clients: photograph or upload receipts, invoices, and statements, and it extracts the data and files the document. It is built to feed your accounting software (QuickBooks, Xero and others) rather than to be the ledger itself, and its Canadian pricing is in CAD on a Canada-specific page: the entry configuration covers 250 documents a month for up to 5 users at $39.50 a month, or $378 a year billed annually, prices excluding GST, as of 2026. Its pricing page does not advertise CRA or T2125 features. Best if your accountant already lives in QuickBooks or Xero and wants your paperwork arriving clean.
Dext pricingWins at: Free scanning for individuals, and expense reports for teams
Expensify made phone-camera receipt scanning mainstream, and SmartScan is still quick and accurate. In Expensify's own words, individuals can use New Expensify for free with unlimited SmartScans, which makes it the strongest free option on this page. The paid plans are aimed at teams: Collect is US$5 per member a month as of 2026, and Control is custom-priced. It prices in US dollars, and the product around the scanner is expense reports, approvals, travel, and corporate cards. Its pricing page does not advertise CRA or T2125 features, so the Canadian tax step stays in your hands. Best if you want free scanning for yourself, or expense reporting for a small team, with your taxes handled elsewhere.
Expensify pricingWins at: Clearing a physical backlog of paper receipts
Shoeboxed is named after the problem it solves: the shoebox of paper. Mail your pile in their Magic Envelope and their team scans it, with what they call human-verified data extraction, alongside a phone app for day-to-day captures. Starter is US$9 a month or US$97 a year as of 2026, with 30 digital scans a month and one Magic Envelope a year. In their own words, Shoeboxed is not free, and the 30-day guarantee is a refund rather than a no-card trial. The archive language on their site is IRS, not CRA: it is a US-priced product, and its pricing page does not advertise CRA or T2125 features. Best if your real problem is a year of paper you never want to type in.
Shoeboxed pricingWins at: Receipt capture inside a bigger accounting suite
QuickBooks includes receipt capture in its mobile app alongside expense sorting, GST/PST/HST tracking, invoicing, and mileage. Lite is $20 CAD a month as of 2026, and the reason to pick it is the wider Intuit platform rather than the scanner itself. For a sole proprietor whose main jobs are the T2125 and GST/HST, it is more software at nearly twice the price of NorthOS, and Intuit does not advertise T2125 line-by-line mapping on its plans.

The CRA does not require an app, it requires records. A labelled folder per month plus a spreadsheet meets the requirement if you keep it honestly, and the CRA accepts records kept on paper, electronically, or a combination of the two. Receipts behind your claims should generally be kept for six years. This costs nothing and genuinely works at low volume. The failure mode is the busy season: a pile of faded thermal paper in March is how legitimate deductions get forgotten, because the receipt that cannot be read is the deduction that does not get claimed.
See what the CRA lets you deductThe scan is only half the job. These plain-language guides cover the rules that turn a pile of receipts into defensible deductions.

NorthOS is bookkeeping and tax compliance for Canadian sole proprietors and side hustlers. Receipt scanning matched to your bank transactions, T2125 expense mapping, GST/HST $30,000 threshold tracking, and records that are already sorted by CRA category when you or your accountant sit down to file. $12 CAD a month.
